This Policy is designed to meet notice and consent expectations under India's Digital Personal Data Protection Act, 2023 (DPDP Act) and related rules.

1. Introduction

Koderscare Technologies Pvt Ltd (“we”, “us”, “our”) operates Akalan, an AI-assisted interview practice and assessment service. This Privacy Policy explains how we collect, use, store, and share personal data when you use our websites, applications, and related services (collectively, the “Service”).

For B2C accounts, we act as the Data Fiduciary. For college/company interviews, your institution or employer may be the Data Fiduciary and we process data as a Data Processor under their instructions, in addition to our own platform operations.

2. Information we collect

  • Account information: name, email, profile details, and sign-in identifiers (for example Google OAuth).
  • Interview content: audio, transcripts, answers, scores, feedback, and session metadata.
  • Proctoring & integrity data: tab-switch and similar events, camera presence checks, and when enabled, encrypted face embeddings used only for identity matching during a session.
  • Recordings: microphone/camera and optional screen recordings when you give explicit consent and the organizer enables them.
  • Job applications: name, email, resume, AI screening scores, and interview answers when you apply to a company role on Akalan.
  • Consent & audit metadata: purpose of consent, policy version, timestamp, IP address, and user-agent.
  • Technical & payment data: device/browser logs as needed for security; payments via Cashfree (we do not store full card numbers).

3. Purpose of processing

  • Provide interview practice, AI questions/feedback, and hiring/college reports.
  • Screen and rank job applications with AI against a job description when you consent (AI screening disclosure) — humans make hiring decisions.
  • Authenticate users, enforce credits/limits, and prevent abuse.
  • Run optional proctoring and session recording with free, specific, informed, unconditional, and clear consent.
  • Process payments and meet legal obligations.
  • Respond to data principal requests (access, correction, erasure, withdrawal).

4. Biometric / face data

When identity checks are enabled, we may store an encrypted face embedding derived from your camera feed for that interview session. This is used only to detect identity mismatches during the session. It is not used for marketing. You can withdraw biometric consent from Settings → Privacy (where available) or by contacting us. Embeddings are deleted on erasure requests and with session cleanup.

5. Processors / subprocessors

We use trusted processors to operate the Service, including:

  • Amazon Web Services (S3) — media storage
  • Deepgram — speech-to-text
  • Sarvam AI — text-to-speech
  • OpenRouter / LLM providers — interview AI
  • Cashfree — payments (India)
  • Google — OAuth sign-in (when used)
  • Resend — transactional email

6. Retention

We retain personal data only as long as needed for the purposes above or as required by law. Session A/V recordings are purged after the retention period configured for the tenant (or platform default). Consent records and certain payment records are retained as required for compliance even after erasure of interview content.

7. Your rights (DPDP)

You may request:

  • Access to / export of your personal data
  • Correction of inaccurate data
  • Erasure of personal data (subject to legal retention exceptions)
  • Withdrawal of consent for consent-based processing (e.g. recording, biometrics)

8. Children

The Service is for users aged 18 and above. We do not knowingly onboard children. Age confirmation is collected at signup and before proctored interviews.

9. Security

We implement reasonable technical and organizational measures, including encryption at rest for selected sensitive fields when configured, access controls, and audit logging of consent events with IP address.

10. Changes

We may update this Privacy Policy from time to time. We will post the revised policy here and update the “Last updated” date. Material changes may require renewed consent where required by law.
